How to use this to-do list template

  1. Duplicate the schedule template. Click “Use template” to create your own copy in Asana. Give it a name that makes sense for your workflow—whether that’s “Social Media Calendar,” “Team Schedule,” or something more personal like “My Morning Routine.”

  2. Name and organize your tasks. Use task titles to describe each block of time or assignment clearly. Add key details like due dates, times, and descriptions so nothing gets missed.

  3. Assign work and set due times. Add assignees to each task so that everyone knows who is responsible for what. Use due times if your schedule requires precision to the hour.

  4. Group tasks by day or category. Use sections to organize tasks by days of the week or by type (e.g., Meetings, Focus Time, Admin). This makes your schedule easier to scan and follow.

  5. Customize with custom fields. Add fields like "Priority," "Work Type," or "Time Estimate" to tailor your template to your needs. This helps you filter and sort tasks quickly.

  6. Choose your view. Switch to Calendar View to visualize your schedule by date, or use List View for a more traditional task list. You can also explore Timeline or Board View depending on your style.

  7. Use project tools to stay organized. Check the Dashboard tab to monitor schedule progress and completion rates. Use other tabs to keep files, messages, and updates all in one place, right alongside your schedule.

Asana features to supercharge your to-do list templates

Create your template

You can customize any template for a to-do list by connecting it with the tools you already use. Integrations enable Asana to communicate with your other apps—such as calendars, email, and documents—keeping your work in sync without the need for extra copying and pasting.

You’ll find these integrations in the Asana App Directory or right in the task pane when you’re setting up your project to-do list template.

  • Google Calendar: Visualize due dates on your calendar and automatically sync task timelines. To keep everything connected, link your Google Docs directly to tasks so that daily and weekly tasks are neat and tidy.

  • Google Sheets: Track progress, analyze trends, or manage simple task list exports in spreadsheet format.

  • Slack: Turn Slack messages into trackable to-dos or get real-time updates when team members complete to-dos.

  • Microsoft Outlook: Turn emails into actionable tasks without leaving Outlook. The Asana for Outlook integration makes it easy to track follow-ups, assign owners, and connect work back to your to-do list.

  • Canva: Attach visual assets, such as posters or checklists, with to-dos and collaborate with your design team.
